Translation of Birth Certificate for immigration purposes

Many people are not aware that USCIS (Immigration and Naturalization Services agency responsible for US residency, Green card, citizenship and immigration services) requires English translation of all the documents when one is applying for citizenship, US residency or Green card. Also, the translation needs to be certified.

In the below article, we are going to answer frequently asked questions that many people commonly ask regarding translation of birth certificates and other documents (marriage certificate, judgments, divorce decrees, personal statements, financial documents ) for immigration purposes.

What is considered a complete and certified translation for the purposes of US immigration?

1. Format.

It is important to understand that any translation should be done literally and not figuratively. It means that the translation should be a literal translation of the original document format. The format includes stamps, seals, dashes as well as signatures. However, there may be cases where things are not clear. In such cases, the translator should mention the word “illegible.”

2. Affidavit of Accuracy.

The document also needs to be supported with a statement from the translator who has done the translation, the Affidavit of Accuracy. The statement should state that the document has been translated to the best judgment of the translator and it actually reflects the style, meaning and content of the original.

Translator’s affidavit

Here is an example of the statement from a professional translator:

Translation of birth certificate of [name of person] from [foreign language] to English
“We are a professional translation service. We certify that the translated document mentioned above has been literally translated by a fully qualified and experienced translator. We also certify that the text translated to English adequately reflects the style, meaning and content of the original provided to us and it constitutes true and correct translation of the original docs in our best judgment. We are certifying the translation to English only. We are not aware whether the original document provided to us is genuine and whether the statements in that original document stand true. We are not responsible for the use of this translation by any third party or the customer that also includes the end users.
We are attaching a copy of the translation made to this certificate.”

The statement should also include name, company name and date along with signature of the representative of the translation company. It should also mention the membership number of the professional organization, such as American Translators’ Association, for example.

Many people who know English well usually ask whether they are eligible to translate their own certificates. The simple answer is that they are not eligible to translate their own documents.

Before making a payment for a translation

When it comes to choosing a official translation agency, there are some important things one needs to keep in mind before making payment.

1. First of all, the translation service needs to be member of a professional trade association/organization. It is indicative of high quality and professionalism. Also, you must check the reviews of the service using the search engines or other websites that allow customers of a service to leave genuine reviews. You may ask for references in case you are using a local service provider.

2. As far as the cost of translation service is concerned, you should expect to pay anywhere in the range of $20-$70 for quality work. If you come across a service that is advertising its translation services for a lower price, you can rest assured that they are not providing human work but using software to translate.

Additional Information on certified translation

You do not need to get your document notarized if you are submitting the document in the US. However, you will need to get your documents notarized when you are submitting it to a US embassy or consulate.
Also, you should get your documents translated as early as possible. Many people make the mistake of waiting till the last moment to get the translation done. Sometimes, things go wrong and they suffer due to procrastination.
